Case Study
How a Residential Concrete Contractor Made the Measured Number the Billed Number
Field measurement to priced sheet in five minutes, with 230 man-hours saved a month and no number keyed twice
230 man-hours saved per month, 5 minutes from lot measurement to a priced sheet, and 0 reconciliation steps between field and invoice

Key Achievements
Shipped 12 modules running the client's book of work, from three guided trade wizards and a live calculation engine to variance analysis, approval workflow, and builder-ready PDFs
Retired 6 paper slab sheets and removed every re-keying step, so the number measured on the lot is the number billed and the number the subcontractor is paid against
Put 12 crews on rate cards with general liability, business license, and workers' comp dates tracked, making a lapsed policy visible before it becomes a liability on a lot
The Challenge
The client pours flatwork, foundation slabs, and footers for production home builders, subdivision by subdivision. A builder hands over a subdivision and every lot in it needs some mix of concrete work, where each type is measured differently, priced differently, and billed differently. That arithmetic lived on paper slab sheets and in pricing spreadsheets, and the answers had to survive the trip from the lot to the office to the builder's accounts payable. Three trades meant three arithmetics. Paper sheets were re-keyed at every handoff, rates had to be remembered rather than looked up, and every number made three trips with a chance to diverge at each one.
From Field Data to Finished Work
Field & Rate Data
- Flatwork: areas, steps, curb dimensions
- Slab sheets: foundation checks, corners
- Footers: linear feet, step-downs, piers
- Builder rate cards and allowances
- Subcontractor rate cards
- License and policy dates per crew
One Priced Record
- Square footage, cubic yards, totals computed live
- A measurement diagram drawn from the numbers
- Rates looked up, never remembered
- Variance resolved to what the sub is owed
- PM approval gate, pending work visibly pending
- One record holding measurements and money
Outcomes
- A priced, approvable sheet in five minutes
- A report the builder can approve on sight
- A builder-ready PDF from one button
- Sub payment against the measured number
- No reconciliation step between field and invoice
- The book of work searchable by lot, builder, or PM
Our Approach
Metacto built each project type a guided, step-by-step sheet: areas, steps, and curb dimensions for flatwork; foundation checks, corner measurements, and slab calculations for slab sheets; linear feet, step-downs, piers, and core fill for footers. Square footage, cubic yards, and totals compute live as the numbers go in, and pricing never has to be remembered because it is already on file. Built on the data the client already keeps, the platform holds field measurements, builder and subcontractor rate cards, variance allowances, license and policy dates, and approval status in one record, so a measurement diagram is drawn from the numbers, variance resolves to what the sub is owed, and the builder gets an approvable report from one button.
Our Solution
One chain from the lot to the invoice, with the same number the whole way down it, and an insight layer reading across the record it creates.
Guided Trade Wizards
Flatwork, slab sheet, and footer wizards encoding each trade's arithmetic once, priced as the measurements are entered.
Rate Cards & Variance Logic
Builder and subcontractor rate cards on file, with variance analysis resolving each sheet to a final subcontractor expense inside the same record.
Approval & Reporting
Work stays visibly pending until a manager approves, then becomes a builder-ready PDF approvable on sight and a payment against the measured number.
AI Insight Layer
In pilot. Reads the same database the reports bill from and scores every crew against the live record, pairing each finding with its next step.
Measurable Results
The goal was to make the number the crew measured the number the office bills and the number the sub is paid against, with nothing in between that could change it. The insight layer now in pilot reads across the whole operational record, subdivision by subdivision, and separates what is costing money or carrying risk right now from what is heading that way. A lapsed general-liability policy or crews on lots without workers' comp is a flag. A license expiring inside sixty days or a rate drifting above the roster average is a watch, worth a look on this week's pass rather than a fire drill. The AI drafts the renewal email and a person sends it. It recommends the hold and a manager applies it.
230 Man-Hours Saved Monthly
Across flatwork, slab sheets, and footers, with 6 paper sheets retired and no number keyed twice.
5 Minutes, Lot to Priced Sheet
From the measurement taken on the lot to a priced, approvable sheet, with 0 reconciliation steps between field and invoice.
3 Trades, 12 Crews, One System
Each crew with its own pricing on file and its license compliance tracked beside the work it is assigned.
