Role Overview

We’re hiring a Sales Operations Manager to own the execution layer of our sales process.

This role ensures that:

  • Opportunities move quickly from discovery → proposal
  • Proposals are accurate, clean, and high quality
  • CRM and pipeline are reliable and actionable

You’ll own the operational engine that keeps deals moving — from pipeline hygiene to proposal delivery. Strategy and closing are handled by leadership, so you can focus entirely on execution and process.

What You’ll Own

1. Discovery → Proposal Pipeline

  • Ensure discovery outputs are complete and usable
  • Coordinate proposal creation and delivery
  • Maintain visibility into all active opportunities
  • Track next steps and follow-ups

2. Proposal Quality & Speed

  • Prepare and format proposals and SOWs
  • Maintain templates and structure
  • Implement QA checks before sending
  • Ensure proposals are accurate, consistent, and client-ready

3. CRM & Pipeline Hygiene (HubSpot)

  • Maintain deal stages and pipeline accuracy
  • Ensure every deal has clear next steps and up-to-date notes
  • Track pipeline movement and flag issues
  • Fix attribution and data gaps

4. Sales Collateral & Deal Support

  • Create and maintain sales collateral (one-pagers, capability decks, case study summaries) in collaboration with marketing
  • Support proposal customization with relevant case studies, testimonials, and service details
  • Ensure the sales team has up-to-date materials for every stage of the buyer journey

5. Upsell, Re-sign & Expansion Support

  • Support existing client engagement by surfacing upsell and re-sign opportunities
  • Coordinate with delivery teams to identify client needs that map to additional services
  • Assist in preparing renewal and expansion proposals with relevant data and context
  • Track and report on upsell and re-sign pipeline, conversion rates, and expansion revenue

6. Sales Process Discipline

  • Maintain discovery and proposal templates
  • Track proposal turnaround time
  • Identify bottlenecks and gaps
  • Improve consistency across deals

What Success Looks Like

  • Fast turnaround from discovery → proposal (48–72 hrs target)
  • Zero client-facing errors in proposals
  • Clean, accurate CRM at all times
  • Every lead and follow-up is accounted for and on track
  • Clear visibility into pipeline without manual reporting

Requirements

  • Experience in sales operations, deal coordination, or similar
  • Exceptional attention to detail
  • Experience with HubSpot or similar CRM
  • Strong written communication (client-facing materials)
  • Ability to manage multiple deals simultaneously
